HoneyBook for Photographers: How I Use It to Run My Photography Business

I’ve been a professional photographer for 16 years, and when I first started this business, I definitely wasn’t thinking about CRMs, workflows, automations, contracts, or backend systems.

I was simply a mom with a camera who loved photographing my own kids.

Then people started asking me to photograph their families. Then their friends started asking. Then their friends asked. And before I knew it, I had built a real photography business.

Today, that little studio has grown into a multi-six-figure company that includes lifestyle family and newborn photography, a massive school photography division, courses, coaching, and a team that helps me make all of it happen.

And one of the biggest things I’ve learned over all these years is this: growing a business cannot just mean doing more.

More clients. More emails. More things to remember. More hours sitting at your computer.

At some point, if you want to grow without your business completely taking over your life, you need simple, reliable systems. Using HoneyBook for photographers has been one of those foundational systems for me.

MANUAL WORKFLOW: Endless Emails + Manual Invoices + Forgot Follow-ups = Overwhelm & Burnout
HONEYBOOK CRM: Automated Leads + Instant Contracts + Hands-Free System = Freedom & Focus

The Photography Isn’t What Takes Up All Your Time

This is something I see photographers realize the moment their studios start to grow. You think more clients simply means spending more time behind your camera.

But what it really means is more of everything:

  • Another inquiry to manually answer
  • Another pricing guide email to send
  • Another contract to draft
  • Another invoice to track down
  • Another questionnaire to email
  • Another reminder to set on your phone

None of those individual tasks take that long on their own. But multiply them by 20, 50, or 100 clients, and suddenly you are spending the vast majority of your working hours on administrative tasks instead of actually photographing people or growing your studio.

I don’t want to spend my life doing admin work. I am a photographer, but I am also a business owner, an educator, a wife, and a mom. I want a wildly successful business, but I don’t want that business to require my attention every single second of the day.

That is where relying on HoneyBook for photographers has made such an incredible difference in my life.

You Don’t Need to Do Everything Manually for It to Feel Personal

This is probably one of the single biggest mindset shifts I want photographers to understand: personal does not have to mean manual.

My photography brand has always been deeply personal. Connection is everything to me. I want my clients to feel loved and taken care of from the exact second they inquire until their final gallery is delivered.

But that doesn’t mean I need to personally type out the exact same email 75 times a year. It doesn’t mean I need to stress about remembering when an invoice is due or when a client needs their styling guide.

HoneyBook allows me to build that high-touch experience ahead of time.

When someone inquires, there is an automated process. When someone books, there is a seamless workflow. Contracts, invoices, questionnaires, communication, and follow-ups don’t have to live inside my head.

And ironically, having those automated systems in place actually allows me to be more present with my clients. I’m not trying to remember 47 tiny admin tasks while I’m photographing a family at golden hour. I get to show up and do what I’m actually great at.

Your Time Matters When Calculating Real Profit

I talk about profitability constantly with the photographers I coach. One of the biggest mistakes I see photographers make is thinking about profit only in terms of cash brought in.

If you charge $1,000 for a family session, that doesn’t automatically mean you made $1,000 in profit. How much of your time did that session actually take?

Not just the 60 minutes on location shooting and the time spent editing. How much time did you spend answering emails? Sending venue information? Creating invoices? Following up on late payments? Scheduling and rescheduling? Answering questions you’ve already answered 100 times?

Your time is a real expense.

I don’t want to increase my revenue by simply working more hours. I want to increase my revenue while becoming radically more efficient. That is a completely different kind of growth.

The Goal Was Never to Build a Business That Consumed My Life

I think about this a lot because I started my photography business when my children were very little.

Photography gave me something priceless: it allowed me to build a thriving career around my life, instead of constantly trying to cram my life into the edges of my career. That remains just as important to me 16 years later.

My business is much bigger now. My goals are bigger, I have more people relying on me, and there are more moving pieces. But I still want freedom.

  • I want to photograph families and absolutely love doing it.
  • I want to teach photographers and watch them build six-figure studios.
  • I want to create new courses.
  • I want to travel with my husband.
  • I want to sit down for dinner with my family without thinking, “Oh crap, I forgot to send that contract.”

I want space in my brain for big ideas instead of filling it with administrative tasks that software can handle for me. That’s why software like HoneyBook for photographers matters so much to me.

It’s not just about sending an invoice faster. It’s about creating a business that doesn’t require your hands on every tiny step in order to run smoothly.

You don’t have to wait until you are completely drowning in work to put systems in place. You can build them right now.

Because the goal isn’t just to make more money with your camera. The goal is to build a profitable business that gives you choices, financial freedom, and time for the life you’re building it for in the first place.
