When Should You Reach Out to Schools for School Photography?

(The Answer Might Surprise You)

One of the single most common questions I get asked by family photographers looking to add picture days to their studio is: “What time of year should I actually start pitching directors?”

My answer might surprise you: all year long.

We book schools and receive new school photography inquiries throughout the entire year. Yes, fall and spring are traditionally popular seasons for student portraits, but one of the absolute biggest mistakes you can make is assuming you missed your window because it happens to be November, January, or April.

You didn’t miss it. The door is always open.

Here is the truth about when should you reach out to schools for school photography and why you should never wait until “next season” to take action.

Traditional Assumption ➜ Pitch Only in August ➜ Miss Out on Spring/Mid-Year Needs
Boutique Reality ➜ Pitch All Year Long ➜ Constant Inquiries & Booking Leverage

School Photography Isn’t Just Traditional Public Schools

I think this is the exact spot where so many photographers get stuck.

When you hear “school photography,” you might immediately picture a massive public elementary school that hosts one traditional picture day every September. But that is only one tiny corner of this industry.

We photograph private preschools, childcare centers, Montessori programs, daycares, and independent private schools. These organizations do not all operate on the exact same rigid corporate schedule, nor do they make photography decisions at the same time.

  • Some directors are proactively planning ahead for fall.
  • Some want fresh, bright spring portraits outdoors.
  • Some are completely fed up with their current volume company and are actively looking for a boutique photographer in the middle of the school year.

That is why there really isn’t one “perfect” outreach window.

Reach Out Early, But Never Wait Until Next Year

If you know you want to photograph schools next fall, absolutely start reaching out early. Some school directors plan their calendars months in advance, and prime fall dates fill up fast.

But if you are reading this in the middle of winter or spring, I don’t want you thinking, “Okay, I guess I’ll just wait until August.”

Start right now! Make a list of 10 to 20 local preschools in your neighborhood, introduce yourself, show them your sample portfolio, and let them know you are actively reserving picture day dates.

You might book a spring picture day next month. You might connect with a daycare that wants immediate photos. Or you might start a warm conversation with a director who books you six months down the road. All three scenarios are a massive win for your business.

Keep Marketing Boutique Picture Days Year-Round

This is the exact way we approach schools in our own business. We don’t turn our marketing on for two weeks in August and then completely disappear.

Schools are able to find us and inquire throughout the entire year because we are consistently putting our boutique work out into the world. If you want to turn schools into a predictable revenue stream that eliminates your slow seasons, think way beyond a single “booking window.”

There is always another local school to reach out to, another director to connect with, and another picture day to put on your calendar.
